How RUMA works, answers to common questions, and how to reach us.

RUMA is not an emergency service. In case of fire, a gas smell, a threat to life, a crime, or serious flooding, contact your local emergency services or utility provider immediately — do not rely on a RUMA message alone.

How does paying rent work?

RUMA tracks rent on an honor-system basis: the landlord bills rent, the tenant marks it paid (optionally attaching a receipt), and the landlord confirms receipt. Money is settled directly between you off-platform — RUMA never stores card or bank details.

What happens after a tenant reports a payment?

The charge shows as awaiting review, with any comment or receipt the tenant attached. You confirm or decline it with a note: confirming a full payment marks the charge paid and issues a receipt; confirming a partial payment records it and the remainder stays outstanding. While a report is awaiting review, bulk actions skip that charge so the tenant's evidence is never overwritten.

Can a tenant pay part of the rent?

Yes. A tenant can report a partial amount; once confirmed it is recorded against the charge and the remainder stays outstanding. Balances, reports, and reminders all track the outstanding remainder, not the original amount.

How do I invite my tenant?

Open the property (or the Invite action) and enter your tenant's email. They receive a link to accept. If they already have a RUMA account they confirm their password; otherwise they set one. Accepting links them to the lease.

How do documents and signatures work?

Upload lease documents and receipts, share a document with a tenant so it appears in their portal, and request an e-signature — the signer types their full name to sign. Attachments can be downloaded by the people they're shared with.

How do I secure my account?

In Settings you can turn on two-factor authentication with an authenticator app (TOTP). Save the recovery codes — they're your backup if you lose the device. You can also review and sign out active devices from Settings.

Can I export or delete my data?

Yes. Your records export to CSV throughout the app — obligations, documents, and every report — and tenants can download their statement. Tenants can delete their account, and a workspace owner can close the workspace; both are recoverable via an emailed restore link for 30 days, after which personal data is permanently anonymized (records shared with the other side of a lease stay with them).

Important to know

RUMA messages are not formal legal notices

Reminders and messages are operational communication. They do not replace serving a notice in the form your lease or local law requires.

Payment statuses reflect your records

Rent is settled directly between landlord and tenant. A “paid” status records what the parties reported and confirmed — money never moves through RUMA.

Deleting an account doesn’t erase shared records

Documents and messages lawfully shared with the other side of your lease stay with them. Some records are also retained for legal or fraud-prevention reasons.

Electronic signatures have limits

Typing your name signs the document, and a certificate records who signed and when. Some documents (notarization, witnesses) are not suitable for e-signing.
