Electronic Signature Disclosure
Version 1.0 · Effective: Jul 11, 2026 · Last updated: Jul 11, 2026
1. Consent to sign electronically
RUMA includes a typed-name electronic-signature feature: a landlord or manager can request your signature on a document shared in your workspace, and you sign by typing your full legal name. By clicking the sign action you consent to conduct that transaction electronically and confirm your intent to sign — the typed name is your signature. If you prefer not to sign electronically, simply do not sign in RUMA and arrange another method (for example paper) directly with the requester; declining to sign electronically does not affect your access to the Service.
2. How you are identified
Signature requests are addressed to a specific person: only the account the request names can sign, from its own signed-in session. Keep your password (and optional two-factor authentication) secure — the signature is attributed to your account.
3. What is recorded
Each signature produces a certificate of completion attached to the document, recording:
- who requested the signature and when;
- who signed, the exact time of signing, and the typed signature name;
- the document and property the signature belongs to.
The certificate is available to you and to the workspace staff alongside the document.
4. Your copies
You can view and download the signed document and its certificate from your portal at any time while your account exists — including in a workspace that has become read-only (for example after a subscription ends). We recommend downloading and keeping your own copy of anything you sign. Records are retained and deleted as described in the Privacy Notice; if you delete your account, the other party keeps its lawful copy and your typed name on already-signed records is replaced with a neutral placeholder during erasure.
5. Hardware & software requirements
You need a current web browser, an internet connection, and access to the email address on your account (signature requests and confirmations are also delivered by email). There is nothing to install. If you can read this page, your system meets the requirements.
6. Changing your mind
Before you sign, you can simply decline to act — nothing is recorded against you, and you can ask the requester for a different signing method. A completed signature cannot be "unsigned" in the app; correcting a signed document (for example a misspelled name or a wrong version) is done by the requester sharing a corrected document and requesting a new signature. To withdraw your general consent to electronic transactions, contact legal@ruma.rent — note that RUMA is an online service, and some features (like signing) are only available electronically.
7. Documents this feature does not support
Some documents are not suitable for a typed-name signature — for example documents that require notarization, witnesses, a wet-ink original, or a specific statutory form or higher-assurance signature level in your jurisdiction. RUMA does not determine whether a particular document may be signed electronically or whether a signed document is valid or enforceable in your jurisdiction — that responsibility, and the choice of the right signers, rests with the parties. When in doubt, ask a qualified professional.
